Group Trip Settle-Up Guide: Hotel, Gas, Meals and One Clean Settlement

A group trip produces the messiest money trail of any shared expense: one person books the hotel, another drives and pays for gas, a third covers dinner, a fourth orders late-night delivery. Everyone remembers paying; nobody remembers the totals. Here is how to settle group trip expenses cleanly — one worked trip from hotel to gas to meals, ending in a single settle-up with the fewest possible transfers.

The trip we will settle

Four friends — Maya, Leo, Priya, and Sam — take a three-night road trip. Here is who paid for what:

  • Hotel: Maya paid $540 for three nights (two rooms).
  • Gas: Leo drove and paid $57.60 for fuel.
  • Food delivery: Priya paid $104.40 for a late-night order.
  • Restaurant dinner: Sam paid $186.48 including tax and tip.

Total trip spend: $888.48. Now let’s work out each person’s fair share, category by category.

Step 1: Split the hotel per night and per room

Hotel math goes wrong when people split the total evenly despite staying different nights. The fair method is per-night, per-room:

  • Cost per night: $540 / 3 nights = $180/night.
  • Nights 1–2: all four stayed, two rooms occupied. $180 × 2 nights = $360, split four ways = $90 each.
  • Night 3: only Maya and Leo stayed (one room). $180 split two ways = $90 each.

Hotel shares: Maya $180, Leo $180, Priya $90, Sam $90. Try the Hotel Room Cost Splitter for your own trip — it handles nights, rooms, and guests.

Step 2: Split gas by distance, not by vibes

480 miles round trip at 30 miles per gallon = 16 gallons. At $3.60 per gallon, fuel cost $57.60. Split among the four riders: $14.40 each. The driver does not get a discount for driving — but the group should cover the driver’s tolls and parking separately if any apply. The Carpool & Gas Splitter does this math in seconds.

Step 3: Split the delivery and the dinner

Food delivery: $86.40 order + $6.00 delivery fee + $12.00 tip = $104.40, split four ways = $26.10 each. Delivery fees and tips are part of the shared cost — everyone ate. The Food Delivery Bill Splitter handles fees and tips per person.

Restaurant dinner: $148.00 subtotal + 8% tax ($11.84) + 18% tip on the subtotal ($26.64) = $186.48, split four ways = $46.62 each. The Restaurant Bill Splitter separates tax and tip properly.

Step 4: Combine and settle up with minimum transfers

Add up each person’s fair share across all four categories:

Person Hotel Gas Delivery Dinner Total share Paid Net
Maya $180.00 $14.40 $26.10 $46.62 $267.12 $540.00 owed $272.88
Leo $180.00 $14.40 $26.10 $46.62 $267.12 $57.60 owes $209.52
Priya $90.00 $14.40 $26.10 $46.62 $177.12 $104.40 owes $72.72
Sam $90.00 $14.40 $26.10 $46.62 $177.12 $186.48 owed $9.36

Enter these totals in the Group Expense Settle-Up Calculator and it nets everything into the minimum transfers — just three:

  • Leo pays Maya $209.52
  • Priya pays Maya $63.36
  • Priya pays Sam $9.36

Three transfers instead of a tangled web of everyone paying everyone. That is the whole trip, settled.

The group-kitty alternative

If your group prefers to pay as you go, try the kitty method: everyone contributes the same amount into a shared pot at the start of the trip (say $250 each = $1,000), one person pays every shared expense from the pot and keeps the receipts, and at the end the leftover is divided equally — or topped up equally if the pot ran dry. It removes per-expense math entirely, but it requires one trusted treasurer and a visible running total.

Warning: the calculator does NOT convert currencies

If your trip spans more than one currency, agree on a conversion rule before anyone enters numbers. The calculators work in a single currency only — they never convert. Pick one approach as a group: convert every expense at the rate on the day it was paid, or agree one fixed rate for the whole trip. Convert everything to the trip’s base currency first, then run the settle-up. Whoever bears card foreign-transaction fees should have those fees counted as a shared expense too, agreed up front.

Trip settle-up checklist

  1. Split the hotel per night and per room — not evenly by default.
  2. Split fuel by distance and actual pump prices.
  3. Include delivery fees and tips in food splits.
  4. Combine every category into per-person totals.
  5. Run the Group Expense Settle-Up Calculator for minimum transfers.
  6. Agree on one currency and one conversion rule before entering numbers.
